At present, the company owns and operates 18 lodges and camps as well as a ground handling operation. Asilia is the first sustainable safari/lodge company in Africa to receive a 5-star rating for sustainability from GIIRS, was recognized as one of the “Best Companies for the World” in 2013 and was awarded the 2014 Tourism for Tomorrow Business Award.

The Fleet Coordinator is responsible for overseeing and managing Asilia’s fleet of vehicles (approximately 130) with the support of a Fleet Management System.  This data driven role involves efficient utilization, maintenance, and compliance of the fleet, ensuring that it supports the organisation’s operational needs while minimizing costs and maximizing safety and sustainability.  


Duties And Responsibilities
Fleet management:
  • Develop and implement comprehensive fleet management policies, procedures, and guidelines with the support of a Fleet Management System.
  • Monitor and maintain accurate records of all vehicles, including registration, insurance, and maintenance history.
  • Evaluate and select suitable vehicles for fleet, considering factors like cost, fuel efficiency, safety, and environmental  impact.

    Vehicle Maintenance
  • Schedule and oversee preventative and regular maintenance, inspections, and repairs to ensure vehicles are safe and in compliance with regulations, working in close cooperation with the Workshop Manager.
  • Establish relationships with spare parts and maintenance providers and negotiate service contracts to ensure cost effective repairs and maintenance.
  • Track and manage vehicle maintenance budgets.

    Fuel Management
  • Implement fuel-efficient driving practices and technologies to reduce fuel consumption and emissions.
  • Monitor fuel consumption and expenses and implement strategies to minimize costs.
  • Ensure compliance with environmental regulations related to fuel usage.

    Driver Management
  • Train and supervise drivers, in close cooperation with Camp Managers and Safari Operations, ensuring that they are aware of company policies and safety procedures.
  • Monitor driver behavior, including adherence to traffic laws and efficient driving practices.
  • Address driver performance issues and provide coaching and feedback.
  • Working with the tracking system, optimize driver management.

    Compliance and Safety
  • Ensure that all vehicles comply with national regulations, including emission standards and safety requirements.
  • Develop and implement safety programs to reduce accidents and injuries.
  • Maintain up-to-date knowledge of industry regulations and best practice.

    Inventory and Procurement
  • Manage vehicle inventory, including acquisitions and disposals.
  • Spare part management in cooperation with Purchasing and the Stores Manager.
  • Negotiate with suppliers and dealerships to purchase or lease vehicles at competitive rates.
  • Maintain accurate records of vehicle-related expenses and budgets.

    Reports, Data & Systems
  • Generate regular reports on fleet performance, including costs, utilization, and safety metrics.
  • Analyze data to identify opportunities for cost savings and efficiency improvements.
  • Overall accountability for the Tracking System, ensuring all devices are online, drivers are assigned to correct vehicles and provide regular training to users.
  • Use reports to enhance safety and reduce costs, as well as to take fleet related decisions.
  • Management and accountability for the Fleet Management System and data accuracy.
  • Ensure all costs which are vehicle related are uploaded, such as fuel dispensed.
  • Present findings and recommendations to senior management.

    Sustainability
  • Explore and implement sustainability practices, such as adopting electric or hybrid vehicles and reducing the organizations carbon footprint.
  • Monitor and report on the environmental impact of the fleet.

Education Other Skills Required
The successful candidate will be required to have the following key skills, qualifications and experience:
  • Bachelor’s degree in a relevant field (e.g. Business Administration, Accounting, Logistics, or Transportation Management).
  • Proven experience in Fleet Management, Logistics, Technical Systems or a related field.
  • Knowledge of vehicle maintenance, safety regulations, and fleet management software is preferred.
  • Critical and analytical thinking.
  • Strong problem-solving abilities and attention to detail.
  • Excellent communication and leadership skills.
  • Familiarity with environment and sustainability practices in fleet management is a plus.
  • Knowledge of applicable laws and regulations related to fleet operations.
  • High proficiency in using MS office suite (Outlook, Word, Excel, PowerPoint).
The successful candidate will be required to  have flexibility to travel regularly, including to remote camps in Tanzania.
